Graphic Recording Booking Conditions
These booking conditions form part of the agreement between the client and Amy Lauren Illustration as the graphic recorder (referred to below as “the GR”). They set out the terms under which graphic recording services are provided.
Services
The GR will provide the services as outlined in the agreed quotation. This may include live visual recording during the event, creation of visual summaries, and delivery of the agreed outputs.
Unless otherwise agreed in writing, the quoted fee does not include significant post-event redesign or reworking, additional illustrations beyond those reasonably produced during the booked time, or extended usage rights beyond those outlined below.
Booking Confirmation and Payment Terms
A booking is confirmed once the client has provided written acceptance of the quotation.
Fees are as outlined in the quotation and are exclusive of VAT. Any additional expenses, such as extensive travel or necessary accommodation, will be agreed in advance and invoiced separately.
Existing clients can avail of 14 days credit from the date of the invoice, which will be sent as soon as the event summary is completed.
Cancellation and Rescheduling
In exceptional circumstances, a cancellation fee may be agreed where a confirmed booking is cancelled and the work will not proceed.
One reschedule may be offered, subject to availability and reasonable notice. Further reschedules may be treated as cancellations.
In the unlikely event that the GR is unable to attend due to illness or emergency, the client will be notified as soon as possible and, where feasible, the GR will assist in sourcing a suitable replacement.
Client Responsibilities
The client agrees to provide clear briefing information in advance of the event and ensure suitable working conditions, including adequate space and access to power or Wi-Fi where required.
The GR is not responsible for omissions or inaccuracies resulting from unclear audio, overlapping speakers, or last-minute changes to the event format or timings.
Changes On The Event Day
Additional time or changes to the event format on the day may incur additional fees, subject to agreement with the GR.
Copyright and Usage Rights
All artwork remains the copyright of the GR.
The client is granted a non-exclusive licence to use the artwork for internal marketing and communications purposes only.
The artwork may not be altered, used to create AI-generated content, resold, or licensed to third parties without the GR’s written consent. Where reasonably possible, the GR should be credited when the work is shared publicly.
Unless otherwise agreed in writing, the GR retains the right to use the work for portfolio, website, social media, and self-promotional purposes.
Delivery and Revisions
Final files will be delivered within an agreed timeframe.
Light clean-up and legibility / text detail adjustments are included in the quoted fee. Large text rewrites or new illustrations requested after the event will be quoted separately.
Confidentiality
All non-public information shared before or during the event will be treated as confidential.
Force Majeure
The GR’s liability is limited to the total fee paid for the booking. The GR will not be liable for any indirect or consequential loss.
Neither party shall be liable for failure to perform due to events beyond their reasonable control, including illness, extreme weather, industrial action, or technical failure.
Governing Law
The laws of the Republic of Ireland govern the agreement between the client and the GR, of which these booking conditions form part. The GR reserves the right to change these conditions from time to time, affecting all new agreements.
Acceptance of Conditions
By confirming a booking in writing, the client agrees to these booking conditions.
